Kwata Crib is a tool register run by Kwata Team, Alberta, Canada, for the company that uses it. That company decides who has an account and what goes in its register. We run the service for them.

What we keep

  • For each person with an account: a username, an optional display name, a role, and a password stored only as a one-way hash. We also keep when they last signed in, and count wrong passwords so an account can be locked after five tries.
  • For each tool: what is on its plates (make, model, serial and similar), any purchase date, cost and notes the company adds, its label code, and its photos.
  • A history of every check-out, check-in, move, condition report and edit, with the name of the person who did it and when. This history cannot be edited.

Photos

Before a photo is saved, the location data and other details a phone stores inside a picture are removed. Photos can only be opened by people signed in to the same company's register.

To read the text on a tool plate, photos go to our own text-reading service on our server. If our reader cannot read a photo well, the photo may be passed to a third-party reading service (Google or Mistral) to read the text, and nothing else is sent with it. When our own reader cannot fill in every detail of an item, the photos of that item and the text read from them may be sent to Anthropic, whose AI model reads them together to suggest the missing details and may run one web search on the words printed on it. Nothing about you or your company is sent with them, and anything it suggests is shown for you to confirm. Photos taken for a tool that is never saved are deleted within 24 hours.

What we do not do

  • We do not sell the register or use it for advertising.
  • We do not use it to train AI models.
  • There is no public sign-up and no page anyone can see without signing in, apart from this one and the other information pages.

How long we keep it

For as long as the company uses Crib. The company can download its whole register at any time. When it stops using Crib, or when it asks, we delete its register, photos and accounts. A person who leaves the company is disabled rather than deleted, because the tool history names who moved each tool; the company can ask us to remove a person's name.

Your rights

You can ask the company that gave you your account, or us, what we hold about you, and ask for it to be corrected or removed. We handle personal information in line with PIPEDA and Alberta's Personal Information Protection Act. Write to support@kwatateam.com.
